Summary of Position:
The Academic Affairs Coordinator is responsible for administrative, data collection, and reporting responsibilities related to teaching and learning (intercultural learning, Global Institutes academics, STEM, online learning, research, internships and service learning) and academic quality assurance. General administrative support for the Academic Affairs team is also an essential part of the role. Assignments involve work of a highly confidential nature and require the use of considerable independent judgment, initiative, and discretion.

Primary Responsibilities:

Teaching and Learning

Intercultural Learning



? Coordinate ongoing data collection and outcomes reporting associated with the Intercultural Development Inventory (IDI).
? Maintain and distribute curricular materials for CIEE’s Intercultural Communication and Leadership course; archive course resources and copyright permissions.
? Assist with coordination of trainings for on-site staff involved in intercultural learning initiatives.
Global Institute Academics, STEM, and Online Learning
? Provide ongoing support to the Academic Director of the Global Institutes with tracking instructor improvement plans.
? Assist with fidelity management of Global Institute core curriculum and syllabi.
? Provide ongoing support to Academic Director of STEM for syllabi development and revision.
? Provide ongoing support to the Academic Director of Online Learning to facilitate Canvas LMS and Know Before You Go (online pre-departure orientation) implementation at all CIEE locations.
? Collate data for Canvas standards reporting and outcomes analysis.

Academic Quality Assurance



? Assist the Senior Manager, Academic Advising and ACB Relations in monitoring completion of academic action items from program monitoring, site evaluations, SOR review, and/or institutional program concerns.
? Assist the Senior Manager, Academic Advising and ACB Relations in coordination of School of Record site visits
? Coordinate the schedule set by the VPAA for the Academic Outcomes (AO) Annual Report and Mid-Year Report.
? Review AO Reports for formatting and data consistency.
? Organize and track deliverables from AO Reports on a per-term basis.

General Administrative



? Assist with billing, expenses, and scheduling for the Academic Affairs team.
? Coordinate Academic Affairs team events and assist with ACB meeting planning.
? Exercise good judgment and consideration in addressing problems and questions that arise with students, parents, home school advisors, and CIEE staff.
? Clerical duties include but are not limited to assisting with filing, photocopying, mailing, and the generation of letters and enrollment documents.
? Represent CIEE with integrity, accuracy, and in the spirit of its mission.
? Perform other duties as assigned.

Knowledge & Skill Requirements:

? Bachelor’s degree required.
? 2-3 years of full-time, increasingly responsible administrative experience in a customer service-oriented field required.
? Superior administrative and organizational skills, extreme attention to detail, and the ability to plan for and manage multiple tasks and priorities simultaneously while meeting tight deadlines required.
? Demonstrated ability to take initiative, handle complex projects and set priorities required.
? Customer service skills, the ability to resolve issues fairly and expediently, and be able to exude empathy and control over the phone and in email required.
? Ability to communicate fluently concisely, and creatively using the English language, both verbally and in writing, with various audiences required.
? Must be a team player and self-starter able to exercise sound judgment in all situations.
? Experience with GoTo Meeting, Skype for Business, Google Drive, Canvas, IDI, Domo, and Qualtrics highly desirable; must be comfortable with learning new technology, databases, and training colleagues on using the technology; must have high level of comfort troubleshooting technical issues.
? Advanced experience working with Microsoft Office programs (including Word, Excel, Outlook, SharePoint, PowerPoint, Teams), Windows-based applications required.
? Some experience with mail merges, formatting spreadsheets and documents required.
? Some experience with data collection, analysis, and reporting preferred.
? High tolerance for ambiguity and the flexibility necessary to respond quickly and appropriately to changing circumstances and priorities required.
? Knowledge of/interest in intercultural development preferred.
? Experience working with people from a wide variety of cultural backgrounds preferred.
