Summary
The Testing and Records Coordinator develops protocols for test administration as well as coordinates the scheduling and administering of all testing necessary for the Academic Skills Center. Additionally, the Coordinator assesses students' areas of deficiency to develop appropriate remediation plans. Finally, the Coordinator is responsible for the accurate record keeping and documentation of all areas of the Academic Skills Center in accordance with Full-Time Equivalent (FTE) guidelines.

Knowledge & Responsibilities

Essential Duties and Responsibilities:

  • Create and maintain a Standard Operating Procedures manual for all testing and assessment activities within the Academic Skills Center
  • Maintain confidentiality and security of all testing materials, completed tests, and work-related information
  • Coordinate the scheduling and administration of both interim and summative assessments in the Academic Skills Center that meet the needs of Johnston Community College faculty and students, as well as faculty and students from other colleges and universities.
  • Proctor a variety of tests for prospective and current JCC students and students from other colleges and universities
  • Evaluate assessment scores to design individual academic plans for student remediation that include, but are not limited to, online resources, tutorial services, and remedial classes.
  • Design and implement a process of notifying students and faculty/staff regarding test scores, placement, and remediation opportunities
  • Develop testing schedules in collaboration with Disability Support Services to ensure special accommodations are met as requested by DSS personnel
  • Attend all necessary trainings to maintain standardized testing certifications
  • Serve as the TutorTrac coordinator and on-site records manager in accordance with FTE guidelines
  • Complete and maintain daily, weekly, and monthly-required confidential required documentation for tutorial services and FTE generation
  • Process end-of-term paperwork and compile reports by deadlines, including FTE-related documents and reports
  • Train Academic Skills Center personnel in the policies and procedures regarding FTE-earning programs and protocols to ensure audit compliance
  • Use departmental software to schedule appointments and assign tutors.
  • Assist in the promotion of Academic Skills Center services to both prospective and current students and faculty/staff
  • Demonstrate a strong commitment to customer service displaying excellent interpersonal communication and problem-solving skills
  • Attend workshops and other trainings as directed by the FSAS Dean and/or Department Chair
  • Work collaboratively with colleagues and students by practicing punctuality, respect for deadlines, problem solving, and honest communication
  • Exercise individual initiative, independent actions, and sound judgment
  • Ability to use, operate, and/or handle office equipment, such as a computer and printer, facsimile machine, copier, calculator and communications equipment.
  • Perform other duties as assigned

Supervisory Responsibilities: This job has no supervisory responsibilities.

Education Minimum: Bachelor's Degree

Education Preferred: Master's Degree

Experience Minimum: Minimum of two (2) years of experience in standardized test administration in a secondary or postsecondary setting.

Experience Preferred: Advanced proficiency in MS Office 2016 or later versions

Additional Information

Requires the ability to utilize a wide variety of descriptive data and information, such as policy manuals, Employee Handbook, SACS Criteria Manual, program guidelines from the NCCCS, course syllabi and course textbooks.

Mathematical Skills:
Requires the ability to perform addition, subtraction, multiplication, and division, ability to calculate decimals and percentages.
