The Innovation Partnerships Program at Ames Laboratory is accepting applications for a Proposal Coordinator who can work collaboratively with Principal Investigators (PIs), Budget Office and Division personnel in the development and submission of research proposals. position. Ames Laboratory is a Department of Energy national laboratory operated through a contractual agreement with Iowa State University.

This position will be responsible for seeking and disseminating funding opportunities, collaborating, advising, and assisting Division-level personnel and PIs in the preparation of proposals including defining the scope of the work relative to the requirements of the funding agency, coordinating interdisciplinary research teams to respond to opportunities, monitoring and processing the Laboratory’s electronic internal proposal approval process, and participating in continuous improvement initiatives related to the Laboratory’s proposal development and approval processes.

The Coordinator will serve as the primary point of contact for the Laboratory for proposal activity, work with PIs and key Division-level stakeholders to track critical timelines and maintain executive-level reporting channels using Smartsheet™; coordinate external technical reviews as directed; and serve as the primary point of contact for proposal-related communications with the Ames Site Office. Additionally, the Coordinator will cross-train with the IPP Technology Transfer Manager to process proposals and agreements for non-federal sponsors.

The Coordinator will curate a list of funding opportunities that dovetail with the Laboratory’s mission, strengths and strategic growth areas and maintain a Laboratory-wide system for dissemination and tracking. The incumbent will also develop reports and updates on proposal activity in the Laboratory; and serve as a liaison to Iowa State University (ISU) through participation in ISU quarterly grant coordinator meetings. The position duties require occasional out-of-state travel for meetings and/or trainings.

The successful candidate will possess excellent communication, interpersonal, analytical and organizational skills; as well as the ability to function in a changing environment. The ability to multi-task while attending to details are important for success in this position.

Required Education and Experience

Bachelor’s degree and 2 years of related experience; OR a Master’s degree; OR a combination of education and/or related experience totaling 6 years unless otherwise specified under supplemental required education and experience. Experience must be at a comparable level and directly related to the duties of this position.

  • Experience with policies, regulations, and other practices relevant to sponsored projects administration.
  • Demonstrated knowledge of relevant theory, principles and practices related to proposal development/submission.
  • Experience working with faculty/researchers in a research institute/academic setting.
  • Background/education in STEM.
  • Prior experience with the Department of Energy or similar governmental organization.
