Job Description

The School of Sustainable Engineering and the Built Environment (SSEBE) seeks an experienced candidate for a Research Advancement Administrator to join the team. The position is primarily dedicated to pre-award management but may include limited post-award functions. The position has the responsibility for the development, preparation, and submission of sponsored project proposals to various funding agencies.

The ideal candidate for this position will be someone that enjoys being part of a collaborative team environment supporting directly, researchers who are making globally impactful advances in research. Essential Duties

  • Reviewing funding announcements and providing guidance on eligibility and sponsor requirements for principal investigator and team for the proposal submission
  • Contacting sponsors for clarification of application guidelines
  • Verifying cost sharing commitments required by sponsor
  • Preparing budgets including sponsor specific budget forms
  • Understands budgeting cost share commitments and completing cost share budget forms
  • Assisting sub-recipients with questions related to completing sub-recipient commitment form, budget forms, and sponsor specific forms
  • Assisting and completing all administrative sponsor required forms and review for compliance
  • Completing and routing all internal forms as required for approvals
  • Uploading files to sponsor portals for sponsors requiring electronic submissions
  • Reviewing proposals against guidelines before submitting applications to the Office of Research and Sponsored Project Administration for review, signature, and transmittal to sponsor
  • Assisting with post submission action items requested by the sponsor such as Just-In-Time requests, revised budgets, scope of work, additional certifications, etc.
  • Acts proactively to overcome issues that prevent full team participation; uses authority appropriately and equitably
  • Acts as administrative resource to research investigators; providing assistance, guidance and counsel during proposal development to federal, state, and private funding agencies
  • In conjunction with and in support of ORSPA, providing assistance and support securing additional information during award negotiations as necessary
  • Performing funding searches to help identify opportunities for faculty

Minimum Qualifications

Bachelor's degree in a related field. Three years of experience in a field appropriate to the area/unit of assignment OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.

  • Demonstrated knowledge of Grants.gov, Research.gov, PIVOT, eRA Commons, FastLane, and other government or sponsor websites
  • Demonstrated knowledge of higher education research enterprise processes and policies
  • Experience using critical thinking and problem-solving skills
  • Demonstrated knowledge of proposal preparation strategies
  • Demonstrates knowledge of compliance issues such as conflict of interest, export control, human subjects, animal care, and/or biosafety
  • Demonstrated knowledge of budget development including cost share
  • Demonstrated knowledge with cloud-based tools/software for proposal management and team collaboration
  • Evidence of strong organizational skills and a high level of customer service
  • Demonstrated knowledge of research management tools
  • Demonstrated knowledge of identifying funding opportunities that support departmental/unit research goals
  • Experience as a problem solver who can take initiative and set priorities while being flexible
  • Experience using strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone.
  • Experience in establishing and maintaining effective professional working relationships
  • Experience in preparing detailed documents, proposals, reports, and/or related materials
  • Experience using Microsoft Office Suite, ADOBE, data base systems, any Enterprise Research Administration System for proposal submission and system to system submissions

Working Environment

Activities are primarily performed in a regular, climate controlled office setting subject to extended period of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching, and lifting up to 25 pounds. Ability to clearly communicate verbally in English, read, write, see, and hear to perform essential duties. Ability to work both independently or within a complex structured team. Normally receives no instructions on routine work and general instructions on new assignments with review of completed tasks. Exercises judgment within generally defined practices & policies in selecting methods & techniques for obtaining solutions.

Department Statement

The School of Sustainable Engineering and the Built Environment (SSEBE) is one of six schools within the Ira A. Fulton Schools of Engineering on the Tempe Campus. From models that simulate complex systems and incorporate emerging knowledge to lifecycle assessments to green buildings and energy systems that protect human health and earth system processes, SSEBE faculty and students are helping to create tomorrow’s world.   • Analysis of complex urban systems that involves quantification of risk and uncertainty in engineering design and construction.

  • Application of sustainable practices in all areas of urban infrastructure (water resources and treatment, geotechnical management, transportation materials and analysis of transportation systems, novel composite materials, construction “green” building techniques, building information modeling (BIM), and computation approaches to design).
