JOB SUMMARY: The incumbent is responsible for providing clerical/administrative support to the Southern Region including SVH, Inland, Lakewood, VNA and Mercy Hospital. The incumbent also serves as the first point of contact to the Human Resources Department located at Mercy Hospital and acts as the receptionist. The incumbent also serves as the first point of contact for job applicants who walk in for assistance in completing job applications. This role will assist the Talent & Acquisition team by assisting applicants who arrive for interviews. The incumbent coordinates and conducts major employee activities, recognition and training functions. To execute these duties the incumbent must effectively coordinate, communicate and work with staff and management at all levels of the organization. The incumbent develops and maintains process support systems and executes special projects. Handles highly confidential information. Develops, coordinates and executes systems for tracking and reporting on all tasks and activities. Assist with HRIS projects for the Southern region including data entry, auditing, and reporting. Creates and maintains a variety of reports and queries utilizing appropriate reporting tools, develops standard reports for ongoing customer needs, and responds to various requests for data from across the organization.

The incumbent may have access to highly confidential patient, employee and/or Mercy proprietary information, and must handle & protect the information in accordance with hospital & system policies, HIPAA requirements and the highest level of ethical standards. The incumbent is responsible for reporting all security events, potential events, or other security risks to the organization. The incumbent is responsible for participation in and completion of all patient safety initiatives appropriate to the position, and conducts all job responsibilities according to the Mission and Values of EMHS.

HR Support Role.

Coordinates HR meetings, agendas and events as required.

Orders, receives and tracks office supplies.

Develops and maintains training schedules.

Assists in composing and delivering communications as necessary

Coordinates conference and training arrangements.

Assists Director of HR with budget development, maintenance and reporting

Develops and maintains HR training records.

Identifies potentially high-risk issues and reports them to the Director HR.

Meets and greets all visitors to the department in a timely and professional manner and directs to appropriate team member.

Answers incoming phone lines and directs calls as appropriate to the Talent &Acquisition team, HR Operations Center, or Regional representative.

Responsible for all filing on a timely basis.


Project Management.

Under the general direction of the Director of HR for the South assists in the coordination of projects for the Southern HR region.

Assists/coordinates HR process improvements.

Assists with Employee Orientation

Assists in development and coordination of leadership and employee development training.

Develops various HR communications and marketing.

Develops, coordinates and executes systems for tracking projects and daily operations

Demonstrates ability to prioritize multiple work requests with minimal supervision.


Provides support for Lawson administration

Perform data entry, reporting and auditing for Lawson records.

EDUCATION/EXPERIENCE: Minimum of an Associate's degree in business or communications or equivalent experience. Prior HR experience preferred. Must have experience with a variety of software programs with strong skills in MS Word, Excel and Power Point. In addition, knowledge of HRIS systems including data entry, auditing and reporting writing desired. Strong interpersonal skills, clear communication and the ability to understand specific instructions. Judgment and initiative to effectively and efficiently work with minimal supervision. Ability to prioritize workload while managing multiple priorities. Incumbent must be a professional, dynamic individual who is detail-oriented with strong analytical skills. Demonstrated project management and problem solving experience.
